This Privacy Policy explains how Whutzthat Labs LLC, doing business as Whutzthat Travel ("Whutzthat Travel," "we," "us," or "our"), collects, uses, shares, and protects personal information when you visit travel.whutzthat.com (the "Site") or engage us to plan or book travel. By using the Site or providing information to us, you agree to the practices described here.
1. Information we collect
We collect information in the following ways:
Information you give us
When you contact us by phone or email, submit an inquiry or intake form, or engage us to plan travel, you may provide:
- contact details — name, email address, phone number, and mailing address;
- traveler details needed to book travel — names as they appear on government ID, dates of birth, gender, passport or other identification details, and loyalty-program numbers;
- trip preferences — destinations, dates, budget, accessibility or dietary needs, celebrations, and similar planning information;
- communications you send us and any documents you choose to share.
Information collected automatically
When you visit the Site, our hosting and content-delivery provider and our web-font provider may automatically receive standard technical information such as your IP address, browser type, device information, referring page, and the pages you view. This is used to serve the Site, keep it secure, and understand general usage. The Site is a static website; we do not require you to create an account to browse it.
Approvals and consent records
When you complete and submit one of our online forms — for example, the Client Agreement, Travel Insurance Acknowledgement, or Credit Card Authorization — we record the information you provide together with your email address, your IP address, and the date and time of submission. We keep this as evidence of your agreement or authorization. The IP address is obtained through a third-party lookup service at the time you submit.
Email list (flight-deal alerts)
If you subscribe to our flight-deal alerts, we collect the email address (and, if you provide it, first name) you submit, and store it with our third-party email marketing provider so we can send you occasional deal emails. You can unsubscribe at any time using the link in any email, which removes you from the list. We don't sell or rent your email address.
2. Cookies and analytics
The Site aims to use only what is necessary to function. We may use privacy-respecting analytics or standard server logs to understand aggregate traffic. Third-party resources embedded on the Site — such as Google Fonts and any embedded intake or booking form — may set their own cookies or receive your IP address when their content loads, subject to their own privacy policies. You can control cookies through your browser settings; blocking some cookies may affect how the Site works.
3. How we use your information
We use the information we collect to:
- respond to your inquiries and provide travel-planning and advisory services;
- research, propose, book, and manage travel arrangements with travel suppliers on your behalf;
- communicate with you about your trip, including confirmations, reminders, and changes;
- send you information, offers, or updates you have asked to receive (you can opt out at any time);
- operate, maintain, secure, and improve the Site;
- comply with legal obligations and enforce our terms.
4. How we share your information
We do not sell your personal information. We share it only as needed to provide our services or as required by law, including with:
- Travel suppliers — airlines, hotels, cruise lines, tour operators, car-rental companies, and similar providers — in order to research, book, and service the travel you request;
- Travelmation, LLC — the host agency through which we operate as an Independent Travel Consultant — for booking, payment processing, support, and back-office functions;
- Service providers that support our business, such as website hosting, content delivery, communications, and scheduling tools, acting on our behalf;
- Legal and safety recipients — when we believe disclosure is required by law, subpoena, or legal process, or is necessary to protect the rights, property, or safety of you, us, or others.
These suppliers and partners have their own privacy policies governing how they use your information. We encourage you to review the privacy policy of any supplier with whom your travel is booked — please reference your booking confirmation.
5. Data retention
We keep personal information for as long as needed to provide our services, maintain records of your travel, comply with legal, tax, and accounting obligations, and resolve disputes. When information is no longer needed, we take reasonable steps to delete or de-identify it.
6. How we protect your information
We use reasonable administrative, technical, and physical safeguards designed to protect personal information against unauthorized access, loss, misuse, or alteration. However, no method of transmission or storage is completely secure, and we cannot guarantee absolute security. Please avoid sending sensitive identification or payment details through unsecured channels such as plain email.
7. Your choices and rights
You may:
- request access to, correction of, or deletion of the personal information we hold about you;
- opt out of marketing communications at any time by using an unsubscribe link or by contacting us;
- ask questions about how your information is handled.
Depending on where you live, you may have additional rights under applicable privacy laws (for example, certain U.S. state privacy laws). To exercise any of these rights, contact us using the details below. We will respond consistent with applicable law. Note that some information must be retained to complete or service your travel bookings or to meet legal obligations.
8. Children's privacy
The Site is intended for adults. We do not knowingly collect personal information directly from children under 13. We do collect traveler details for minors when a parent, guardian, or other authorized adult provides them to book family travel. If you believe a child has provided us information directly, please contact us and we will take appropriate steps to remove it.
9. Third-party sites and links
The Site may link to or embed third-party websites, forms, and services. This Privacy Policy does not apply to those third parties, and we are not responsible for their content or privacy practices. Please review their policies before providing information to them.
10. Changes to this Policy
We may update this Privacy Policy from time to time. When we do, we will revise the "Last updated" date above. Material changes will be reflected on this page, and your continued use of the Site after an update constitutes acceptance of the revised Policy.
